Day Of Wedding Coordination

Many individuals may enjoy planning their event and only wish to have someone handle the details the day-of so they can go out and actually enjoy their event and not have to worry about keeping the event on schedule, handle negotiations or logistics with vendors, or take care of any hiccups that may arise.
Although it may be termed “Day-Of” Coordination, we will need to meet with our clients at least 4 weeks prior to the wedding to become familiar with your event plans, goals, and vision. We’ll discuss the itinerary, go over any missing or last-minute details, and gather vendor information. It is recommended to contact us at least six months prior to the day of your event to book our services to ensure we have an available booking for when you will need us.
With Day-Of Coordination, during our meetings you’ll work with our team to review, update, and manage the event schedule, day-of checklist, and appropriately plan for the remaining time until your big day. We’ll also help distribute your event’s schedule to the wedding party, venue, and vendors.
Leading up to the Big Day, we will coordinate the logistics and details of:
  • Final event venue* walk-thru.
  • Floor plan and seating arrangement.
  • The event’s flow and formation.
  • Vendor* contracts, final vendor confirmations, vendor and venue set-up, and final vendor payments.
  • Collect or track personal items including programs favors, centerpieces, escort cards, cake items, etc.
  • Rehearsal planning and management.
  • On-going professional guidance and communication.

Execution Phase

As your Day-Of Event Coordinator, it is our job to make sure that your event is carried out without a hitch and handle any problems that may arise discreetly and with minimal impact to your or your guest’s enjoyment. We will:
  • Orchestrate ceremony or event rehearsal.
  • If you are getting married in a church, we will provide support to the church.
  • Review event timeline with event staff, vendors, and the wedding party.
  • Set up event and/or reception sites including personal items.
  • Distribute event programs, favors, personal flowers, etc.
  • Coordinate and execute flow of event according to event timeline.
  • Review wedding etiquette and arrange procession.
  • Oversee all vendor activities and communication and deliver final payment (including gratuities).
  • Ensure all event items are packed up and venue is cleaned up per contractual requirements.
